Harvard Economist Juliet B. Schor, in her book The Overworked American, writes that "The average employed person is now on the job an additional 163 hours, or the equivalent of one month a year," compared to figures for 1969. Why spend any more time in the office than you have to spend. If you are faster doing your computer work you can spend time making money instead of creating documents. Here are some tips that will save you time using Microsoft Office:
1) Use Shortcuts. It may take some time but learning keyboard shortcuts can save lots of time especially in Excel spreadsheets. Here is a useful shortcut: in a data set if you want to go to the end click and hold the CTRL key on the keyboard and press an arrow key. This will take to the end of the data in that direction. To highlight all of those data points click and hole SHIFT and CTRL then press an arrow key.
2) Upgrade. If you are using Office 2003 consider upgrading to 2007. There is a little bit of a learning curve but 2007īs ribbon and layout is very easy to access everything you may need and is faster than the old menu.
3) Get Training. You can learn Office easily but why waste time. Find a either a person at work or a professional trainer to help you with learning Office. You will learn the programs much faster and learn tricks that you may not have learned on your own.
4) Connect Files and Documents. If you have lots of documents or spreadsheets that need information from each other you should link the files. If you link files together updated happens automatically instead of entering in the same information on multiple files manually.
5) Make Standard Templates. If you have standard templates for files you use often it makes it easier to use for you and the rest of your team. The templates, if done right, can save time in training other people as well as your time when using the file.
These tips are a good starting point on how to be faster by using Office. The big points are to make sure you keep learning and practicing to get faster.
