1) Type Constants Only Once.
If you are using a number repeatedly in your Excel spreadsheet then you might want to make a constants section. A constants section is where you set aside a few cells and enter in the values that you will need repeatedly but you will use it as a reference point. Any time you need the number you will tell Excel to refer to that cell. If the value changes then to change the entire spreadsheet all you do is change a single cell. A good example of this might be rent/lease, the costs of goods, or price charged for products.
2) Use Conditional Formatting to Highlight Irregularities.
Excel 2007 allows you to change the color of the text or the background of a particular cell or a group of cells based on its value. An example of how to use this might be if our net profit for the month is negative then we might want to highlight that cell in yellow or if we have unusually high spending in a category then we can choose to change the color of the cell to bring it to our attention.
3) Lock Cells to Protect Your Spreadsheet.
If many people are viewing or accessing the spreadsheet then you may want to password protect portions or all of your spreadsheet. Excel 2007 has a protect feature that will let you set where and what to protect and gives you the option of a password. This is extremely helpful to prevent damage or manipulation to your spreadsheet.
4) Keep the Format Consistent.
If you keep your layouts, zoom level, and color scheme similar on every spreadsheet, you will have an easier time understanding the information in your office. Being able to communicate better will make you and your office more productive and it makes it easier to train new employees.
